Preparing for a Remote Audit

This article will help you prepare ahead of a remote audit with us.

You will be sent a Teams link where you and the Auditor will be able to conduct the Audit. This is usually booked in 15 minutes before the start time so that you can log on and be prepared in preparation for the Auditor to join at the allocated time. We encourage you to test the link beforehand to make sure there are no issues. When you do join the call please make sure that you are in an area away from distractions and have a strong Wi-Fi connection and are using a device which is mobile so that you can show the Auditor around. During the Audit the auditor will spend time discussing documentation and in addition will carry out a site walkaround and conversations with employees.

 

In preparation for the Audit please ensure that you have gathered, and have access to, the below:

  • Access to RiskProof and all the modules
  • Statutory certificates (For example Gas Safety, Electrical Safety)
  • Visitor’s and Contractor’s signing in and out procedures
  • Health & Safety and Food Safety Management System and documentation
  • Daily, weekly and monthly record checks
  • Record of Health & Safety meetings
  • Risk Assessments including COSHH and data sheets
  • Cleaning schedules
  • Line cleaning record and schedules
  • House keeping checks and records including Z beds
  • Checks on gym and leisure equipment
  • Asbestos and Legionella records
  • Maintenance records (For example ladder checks)
  • Fire Safety checks
  • Fire Safety training records
  • Fire Risk Assessment and log book
  • Food hygiene training records
  • Pest control documentation
  • Temperature probe calibration records
  • Allergen matrix/ information
  • If applicable, pool plant records and water monitoring
