Evidence must be submitted when closing requirement or imminent risk non-conformances to clearly indicate that the Safe to Trade Standard requirements were met.
Detail of how the non-conformance should be addressed is explained under each audit point. The evidence may be rejected if:
- It is unclear - for example blurry photographs.
- It does not demonstrate the information requested - for example a photo of the physical evidence requested was not included, such as discarded food.
The evidence available will depend on the nature of your business and how soon the non-conformance is being closed. Here are some examples of evidence that can be provided; these are not exclusive, other forms of evidence may be acceptable. Please note, it may on some occasions be appropriate to upload more than one item of evidence.

Insufficient communication of information to personnel/personnel inappropriately trained. | 1.1 Upload training records as evidence of formal training. 1.2 Upload a photo of informative signs in the relevant area. 1.3 Upload a due diligence record documenting a debrief provided to your food handling team. |
2. Missing monitoring records. | 2.1 Upload evidence of monitoring records to demonstrate these are routinely undertaken, with corrective actions taken as necessary. |
3. Policy in FSMS not followed. | 3.1 Upload photographs of the policy being applied in practice. 3.2 If the policy was deemed insufficient, upload evidence of revisions to the policy. 3.3 Upload evidence of ‘communication. to personnel / appropriate training ‘ – see example above. |
4. Evidence of grime/dirt. | 4.1 Upload photographs to demonstrate the cleanliness standards in the affected areas. 4.2 Upload evidence cleaning standards are monitored. |
5. Equipment defective. | 5.1 Upload photographs to demonstrate working equipment. 5.2 Upload evidence of maintenance records demonstrating that the equipment has been fixed. 5.3 Upload evidence of invoices for equipment replaced. |
Clear photographs of the evidence must be submitted, accompanied by a written explanation. Please see ‘Non-conformance closure’ for instructions on how to do this. Please upload the additional evidence required and add comments.
Remember, only pictures can be uploaded. Documents and pdf's must be submitted as photographs.
If Shield Safety Certification Body rejects the evidence you have provided, when you log into RiskProof and open your audit report, you will observe some non-conformances that were previously closed and have been reopened and show status ‘In Progress’.
When you click on the ‘show status history’ link under the non-conformance, the dialogue box will open and you will be able to read the comments left by the assessor.
